The example is deliberately specific. A declaration should identify a packaging unit or clearly controlled family, not “all company packaging”.

- Harmonised standards, common specifications or other technical specifications used in the assessment, listed precisely.
- 7. Notified body
- Name, number, intervention and certificate where a notified body was involved; otherwise record that this field is not applicable.
- 8. Additional information
- Technical file TF-BOX-EU-042, approved version and any defined conditions, exclusions or market-specific notes.
Five questions before signing
- Is the responsible manufacturer correct?Confirm the operator role against the real design, branding, contracting and supply-chain facts.
- Is the packaging object traceable?The ID, version and description must lead back to the exact specifications and evidence assessed.
- Are all applicable routes assessed?Screen composition, substances, circular design, minimisation, reuse, format restrictions, labelling and documentation.
- Are open points disclosed and controlled?Do not silently convert missing evidence or pending EU methodology into a positive conclusion.
- Does the signatory have authority?Record the name, role, approval date and the version being signed.

A polished PDF can still be an unsupported declaration
- Using a product SKU without identifying its packaging version.
- Listing the supplier as manufacturer without confirming the PPWR role.
- Copying every PPWR article into the declaration without screening applicability.
- Referring to “supplier certificates” without document IDs, versions or scope.
- Signing while technical evidence remains missing or internally contradictory.
Verify against the official Annex VIII
Consult the conformity-assessment and declaration provisions plus Annex VIII in the official Regulation (EU) 2025/40. The final declaration must reflect the applicable legal text and the actual evidence held by the responsible operator.
